While the concept is always the beginning, it always seems like the step that is overlooked the most. Relating it to film and TV, this has to be the logline or the elevator pitch description of the piece of media. The Game Design Document is the equivalent of the Bible for a TV show or film. I see this now, as the entire arc of the story for a game and its characters and plot beats must be laid out ahead of time. In order for a show to be picked up for production, the same elements need to be laid out in the Bible
I've been studying Project Management (mostly for business use away from media studios) but it seems like they use the same software that dev studios use as well. The Kanban board is there for updates on the progress of a work package (the assigned task to complete a goal within the project). Waterfall management refers to the flow of the project, where once a task is completed it is not revisited. This probably wouldn't happen in a game studio. Agile management is the use of iterations, or constant reviews and updates to a work package.
Everyone has used Google Drive so that should be an easy platform for everyone in general, however, Microsoft does have the Office suite and Cloud. I do find Asana and Monday.com to be quite easy to use as well, although I guess HacknPlan would make the most sense if the team needs to work on a visual level and wants to avoid numerous links.
